1. General

Partners in Energie is a collaborative partnership among the various regional grid operators in the Netherlands. These are: Westland Infra Netbeheer, Coteq Netbeheer, Enexis Netbeheer, RENDO Netwerken, Liander and Stedin.

This website is an initiative by the collective grid operators in the Netherlands. The grid operators have designated Energie Data Services Nederland B.V. (EDSN) as the administrator of the website. It is intended primarily for all energy suppliers, balance responsible parties, metering responsible parties and independent service providers in response to service questions about market facilitation processes and for third parties who wish to submit a data request. A knowledge base, chat and ticket function and a request form are available on the website. We also provide relevant news from the sector.

This website is not intended for consumers. For questions about the use of personal data, we refer consumers to the website of their own energy provider or independent service provider. They can also consult the websites of the various grid operators in the Netherlands about this.

2. Which personal data do we process and how?

Personal data includes all information that says something about a person and that can be traced back to an "identified or identifiable natural person". In our case, you are a customer, a business relation or a (digital) visitor. The personal data that we process are your name, (business) address, (business) e-mail address, telephone number and the name of the company or organisation  you work for. We collect limited information about the use of the website by means of cookies. You can read more about this in chapter 9 of this privacy statement.

All information you provide us is processed according to applicable laws and regulations. We do not process any more personal data than is necessary to perform our work activities.

Have you given us explicit permission to process certain personal information? Then you can rescind that permission at any time. We will then stop processing this data. You can read more about this under the heading "What are your rights?".

3. For which purposes is this personal information collected?

Partners in Energy processes your information for the purposes below:

  • Access to an account.Staff at grid operators and partners requiring access to the Partners in Energie platform due to their work activities or positions are granted access by means of personal accounts. The underlying legal principle for this is the employment contract or secondment contract between the employer – a grid operator or partner – and the employee.
  • Facilitating support requests.Processing personal information in order to facilitate and centralise the submission, response and processing of support requests from chain partners, with the objective of simplifying and improving grid operators' provision of service to partners. The underlying legal principle for this is based on legitimate interest.
  • To enable analysis of the website's operation. The underlying legal principle for this is based on legitimate interest.
  • To send a newsletter. The underlying legal principle for this is your permission.

The grid operators are the point of contact for processing the personal data used by EDSN in the central IT systems of the energy market. EDSN acts as a processor on behalf of the grid operators based on the General Data Protection Regulation (GDPR). The grid operators decide which personal data will be processed, for which purpose and in which way. EDSN has no say in selecting the data or the purposes for which it is processed. 4. Who is responsible for processing your personal data?

Partners in Energie – i.e. the grid operators jointly – are responsible for the content of this website and for all your data that is processed via the website.

The grid operators have designated Energie Data Services Nederland B.V. (EDSN) as the administrator of the website. Tickets and data requests submitted via the website are automatically forwarded to the respective grid operators. As the administrator of the website, EDSN can also view this data.

Partners in Energy has concluded contractual agreements about this with EDSN.

Partners in Energy protects your data according to the requirements laid down in the GDPR. If we share personal data with third parties, we have concluded agreements with these parties. If links to third parties are made on this site, we refer you to the websites of these parties. Their privacy statements will contain more information about the way in which these third parties deal with your personal data.

5. How do we protect this personal information?

We have taken appropriate technical and organisational measures to protect the personal information provided to us in the best possible way. We have set up our infrastructure and procedures to provide the best possible protection for your personal data, appropriate to the nature of the data and what is technically possible and feasible.

EDSN employees with an administrator role can view your account and ticket information to resolve user issues. In addition, we periodically check and evaluate the authorisations and update these if necessary.

6. Where is my personal information processed?

Preferably, your personal information is processed within the European Economic Area (EEA). If we process your information outside the EEA, we do this in accordance with European Union regulations. In doing so, we use standard EU contracts, including appropriate technical and organisational measures to ensure that your personal data is protected in the same way as it is pursuant to the GDPR.

Partners in Energie treats your data with care. If you discover a security incident nonetheless, we ask that you report it to us as soon as possible. Information security incidents can also be considered personal data breaches (data leaks) within the context of the GDPR. 7. How long do we retain your personal data?

Naturally, we respect the legal retention periods for personal data. In addition, we retain personal data no longer than necessary to perform our work activities. After that, we destroy personal data or retain it in an anonymised way. In this manner, the data can no longer be traced back to a single person. Do you want us to delete your personal data sooner? Please read about your rights below and how you can take care of this.

8. What are your rights?

As a customer, business relation or (digital) visitor of Partners in Energy, you have various rights in accordance with the GDPR. If you wish to use the rights below, you can submit a request via [email protected]. Or you can send a letter to: Van Asch van Wijckstraat 55, 3811 LP Amersfoort. We will try to honour your request and answer your question within 30 days. Should it take any longer, we will notify you.

8.1 Right of access

You can always ask us which of your data we process. To do so, you can submit a request for right of access. We will provide you this information free of charge. If you submit a request for right of access, we ask that you identify yourself.

8.2 Right to rectify and supplement

The following applies to all of our customers' other personal data and for any personal data of business relations and (digital) visitors that we process: if the information is incorrect or incomplete, you have the right to have this corrected. We will then take measures to process the data we have about you in the proper way.

8.3 Right to restriction of processing

In some cases, you can object to the processing of your personal data. The GDPR includes the conditions from which you can derive this right.

8.4 Right of removal

You can submit a request to have your personal data deleted. Since we process considerable personal data because this is required, we can honour this request only if:

  • Your personal data is no longer necessary for the purpose for which we have obtained it, or;
  • You rescind your permission on which the processing of your personal data was based, and there is no other reason to retain your personal information.

8.5 File a complaint with the Personal Data Authority

Partners in Energie takes your comments/objections and your rights concerning the processing of your personal data seriously. Nevertheless, if you feel that we have not handled your comment or complaint properly, you can lodge a complaint about this with the Personal Data Authority at autoriteitpersoonsgegevens.nl.

The individual grid operators are the point of contact for processing personal data in the tickets processed by EDSN in the central IT systems of the energy market at the behest of the grid operators.

9.1 What do cookies do and why are they used?

We use cookies to recognise you when you visit the website and to ensure that the website works properly. Cookies ensure, for example, that you remain logged in. In addition, cookies provide us information about the use of our services. This way, we can improve and adapt our services according to our users' wishes. These cookies fall under the heading of functional or analytical cookies.

9.2 Which cookies does Partners in Energy use?

Partners in Energy uses various functional and/or analytical cookies. Consider, for example, a cookie that stores a user's standard language or time zone. We also record the loading times for pages. Cookies are stored only during the session or up to a maximum of 90 days after use.

Partners in Energy uses Google Analytics and Dynatrace to keep track of how the website is used and whether it is functioning properly. The data we obtain in this way can help us improve the user-friendliness and performance of this website. These cookies store information about the use of the website. The analytical data is not linked to personally identifiable information such as your IP address. We have set up the use of Google Analytics and Dynatrace in the most privacy-friendly way, according to our principles of 'Privacy by Design'. We retain information from Google Analytics and Dynatrace for a maximum of 26 months.
